IT Vendor Management, Procurement & Inventory

Job Description (Responsibilities & Assignments)

  • Reporting to Head of IT Governance & Security
  • Performing activities in the IT Vendor Management, Procurement & Inventory function

Vendor Management

  • Manage IT contracts, take care about the validity and make sure there is written contract with all IT vendors
  • Ensure all IT procurement tasks are on time
  • Ensure all IT inventory tasks are well-managed
  • Manage the calendar schedule contract owner for the IT Governance Meeting, prepare IT contract review, site visit, SLA and scope management, regular evaluation of vendor’s performance
  • Create monthly meeting and send the calendar to IT contract owner for schedule the next governance activity
  • Coordinate IT VM Meeting with Finance & Legal Department for the IT vendor contract agreement
  • Check and udpate the IT Vendor Agreement Status Log
  • Remind the IT contract owner for expiration date agreement by refer “Renewal Period Countdown” in IT Vendor Agreement Status Log
  • Define standards, bring new ideas to optimize sourcing and improve effectiveness
  • Communicate all situations and/or conditions that affect the IT Vendor to the IT Department
  • Serve as a liaison between Sompo (User/IT) and the Vendors

Procurement

  • Manage IT Procurement processes: receive & analyze request form, determine the appropriate method of procurement, select the vendor, get the quotations, create the purchase request, get the approvals, submit to Finance Department, monitor the order and delivery, register and labeling, check the invoice, administer the warranty
  • Collaborate with General Affair and Finance Department, process all documentations and approvals needed to speed up the procurement
  • Track status and verify accuracy of orders comparing received items to purchase orders
  • Provide guidance directly to internal users regarding company standards working equipment and IT equipment request
  • Provide and maintain IT purchase reports for review by IT Management

Inventory

  • Ensure IT equipment in the IT Storage is organized and clean
  • Perform routine stocktaking task to maintain the IT equipment
  • Perform the disposal activity to the old/broken IT equipment in a timely manner
  • Communicate all situations and/or conditions that affect the IT equipment to the IT Management (e.g. item requests, stocks, etc.)
  • Provide and maintain IT Inventory reports for review by IT Management

Qualification / Any special skills required

  • More than 2 years of working experience in IT Reporting & Vendor Management, preferably in Insurance industry
  • Bachelor Degree from any majors, preferably from Computer Science/Finance/Marketing
  • IT Organization and risk management experience
  • Purchasing, PO generation, invoicing, inventorying, accounting, reporting and vendor management skills are required
  • Must be able to multi-task and analyze complex IT needs and situations, and liaise with the vendors to determine and attain the best solutions
  • Familiarity with IT operational, financial, quality assurance, IT procedure and regulation is a must
  • Must be fluent in English (written and spoken)

IT Security

Job Description (Responsibilities & Assignments)

  • Reporting to Head of IT Governance & Security
  • Performing activities in the IT Security & Risk function

Security & Risk

  • Implement and maintain the Information Security Policy
  • Ensure IT environment and operations is in compliance with security policies, procedures and guideline
  • Manage threats and vulnerabilities
  • Develop and modify information security policies, procedures & guidelines
  • Conduct Risk Assessment periodically & monitor changed risks
  • Monitor compliance to Security Standards and conduct regular reviews
  • Work with Business areas to determine apprpriate Role Owner and Back-up Owners for those that have been eliminated or terminated
  • Conduct information security awareness training
  • Implement corrective and preventive recommendations from security reviews or audits
  • Prevent, Records, respond and reduce damage from security incidents
  • Ensure business relationships involving third parties, outsourcing and consultants are meet Sompo’s information protection requirements
  • Provide audit evidence in support of any IT certifications as requested by IT Audit Team
  • Ensure that all highly sensitive and restricted information is identified as required by the policy and all applicable standards are followed
  • Maintain strong effective partnership with component team as well as subject matter experts
  • Act as a main gateway / PIC between Sompo Local with Sompo Regional and Head Quarter
  • Act as a main PIC of Kaspersky Endpoint Security Manager administration
  • Act as a IT Security in IT Sompo Local to ensure Information Protection and business initiatives and processes have followed the IP policies and guidelines
  • Act as a conduit from Local Security with Regional and Head Quarter Team to address IT risks and trends identified

Qualification / Any special skills required

  • Strong knowledge about information security standards (COBIT and ISO27001)
  • Strong ability to establish, execute and maintain new processes and procedures
  • Strong background in IT with a clear understanding of the challenges of information security
  • More than 5 years of working experience in IT Audit & Risk, preferably in Insurance industry
  • Candidate must possess at least a Bachelor's Degree/Master's Degree, Computer Science/ Information Technology or equivalent
  • IT Security certification is a plus
  • Must be fluent in English (written and spoken)

Audit & Compliance

  • Ensure all IT policies are up-to-date to support the company
  • Manage and monitor the implementation of IT policy, procedure and standard
  • Lead vulnerability audits, conduct forensic investigations and mitigation procedures
  • Ensure the control is in place and provide necessary IT advice when it is necessary
  • Manage organization-wide training in IT security awareness, protocols and procedure
  • Act as a main gateway / PIC between SOMPO Local with SOMPO Regional & Head Quarter related Audit, Risk & Compliance topics
  • Collaborate with alll IT Team to provide IT document evidences in support of audit certification as requested by Audit Team (Internal/External)
  • Follow up with IT management to ensure that IT audit issues raised are addressed within the time frame agreed

Reporting

  • Ensure all IT reports tasks are delivered on time
  • Provide and maintain all reports for review by IT Management
  • Keep all records about IT costs (invoices), analyze them
  • Collaborate with Finance & Legal Department, process all documentation and approval needed to speed up the reporting
  • Perform data analysis for decision making
